Add a new landlord to the CRM from an email

An owner inquiry lands in the inbox and Dash turns it into a clean HubSpot record: contact, company, the four properties named in the mail, and the fields it deliberately left blank because the email did not actually say.

Drafted, not created. Here is what I read out of the mail and what I would write.

  • Contact · owner, replying from a personal address, phone in the signature
  • Company · the ownership entity named in the second paragraph
  • Properties named · four, two in Phoenix and two in Tucson, unit counts given for three of them
  • Source · referral, named in the first line
  • Left blank · unit count on the fourth property, current manager, and target start date. The mail does not say, and guessing those is how a pipeline number goes wrong

Nothing is in HubSpot yet. Approve it and I will create the contact, the company and the association in one go.

Do we already have this entity? I think we quoted them last year.

Yes, and thank you for asking. There is a closed lost record from October under a slightly different entity name, same phone number.

That changes the draft. Rather than a new company I would reopen the existing one, add the new contact to it, and keep the old note about why it was lost, which was fee, not service.

Reopen it that way. And put the old loss reason in the first line of the note.

Updated the draft to reopen rather than create, with the fee objection in the first line so whoever picks up the call sees it before they quote.

Still waiting on your approval. I do not write to the CRM without it.
