Built it as a reusable checklist, so anyone can start one for any unit rather than working from memory.

Move-Out Inspection
  1. Confirm unit, resident and lease end date.
  2. Room by room walk: living, kitchen, each bedroom, each bathroom, exterior.
  3. For each finding, record the room, the issue, and whether it is fair wear and tear or chargeable.
  4. Price each chargeable item.
  5. Total the deductions and check the total against the deposit held.
  6. Hand to the controller for review before any deposit is released.

Step six is a hand-off, not something I complete. The deposit decision stays with a person.

Rule added to step four

Any chargeable item priced over $200 requires a photo before the inspection can be handed to the controller. Under $200 a photo is optional. An inspection with a missing photo on a high value item will not move to step six.

This applies to every inspection from now on, not just the next one. Nobody has to remember the rule.
